Terms and Conditions for Exhibitors
Definitions
The term 'Organiser' used means Business Link Kent CIC or their designated representative. The term 'Exhibitor' includes any person, company or business to whom space is allocated. The term 'Venue' refers to those portions of the Kent Showground that have been hired to the Organiser.
Application for stand space
Reservations for stand space must be made on the form provided by the Organiser. First choice is given for early payers. The Organiser reserves the right to grant or refuse any application without giving reasons. Invoice payment must be made within 7 days of the invoice date. Cancellation of stand space will be accepted only if received in writing no later than 1 March 2008. Cancellations received after this date (and in writing) will incur the full charge of the Exhibitor stand. Refunds may occasionallly be offered at the discretion of the management.
The booking is firm, once the Organiser has accepted the payment.
All Exhibitors are able to choose their stand space and can check on the Kent2020 website, which companies/sectors are exhibiting next to them. The Organiser is not responsible for ensuring that companies within the same industry are kept apart at the exhibition.
Stand Fitting
The provision of the 'shell scheme' stand fitting will be the responsibility of the Organiser. No standfitting organisations other than those designated by the Organiser will be permitted to build any 'shell scheme' stands for this exhibition. Exhibitors must pass on to the Organiser the name of any contractors and/or sub-contractors to be employed by them at or prior to the event.
Electricity
The official electrical contractor to the exhibition will carry out all electrical work. The Organiser will provide one 3 amp power point (must be pre-booked) with the shell scheme. Any additional lighting can be provided by the Organiser but must be paid for.
Interference with services
Neither exhibitors nor their representatives will be permitted to interfere in any way with electric fitting connections but must contact the Organiser who will arrange the appropriate contractor
Damage or loss
Provided that they have taken reasonable care, the Organiser shall not be responsible for any damage to or loss of any property whatsoever. All such property shall be at the risk of the Exhibitor.
Indemnity
As a condition of allocation of space the Exhibitor shall indemnify the Organiser against all costs, charges, expenses, losses, proceedings actions or claims arising out of any infringement of any third party or any damage or injury to any property or person whatsoever directly or indirectly the act, default or negligence of the Exhibitor or his representatives
Conduct of Agents, Employees etc
Exhibitors will be held responsible for the conduct and behaviour of their agents, employees and contractors, who must carry out all reasonable requirements of the Organiser or their representative.
Fire precautions
The appropriate number of fire marshals will be provided by the Organiser with the approved number of fire extinguishers.
Occupation of stand
The Exhibitor shall be given access to the venue for the purpose of preparing its Exhibit(s) on the day prior to the exhibition and should ensure that all stands are complete and ready for the exhibition opening at 8 am on 3 April 2008.
For health and safety reasons the Organiser will prohibit admittance to any Exhibitor or their representative or contractor bringing in any items larger than the size of a laptop after 8 am on 3 April 2008
Removal of articles
Possession of all sites remains vested in the Organiser who is therefore entitled at all times, without notice, to enter on any site or any stand erected on it. The Organiser shall be entitled without notice to remove any article which in their opinion infringes any of these regulations. If in the opinion of the Organiser the business of any Exhibitor is being conducted in such a manner as to make it probable that persons doing business with the Exhibitor may be dissatisfied, or that discredits may be brought upon the exhibition or if the Exhibitor shall fail to observe any of these regulations then the Exhibitor will be asked to leave the site.
Removal of Exhibits
All Exhibitors' goods must be removed from the Exhibition stands by the Exhibitor immediately after the exhibition officially closes at 5pm but not before then.
Exhibitors failing to comply could be liable to the cost of the Organiser removing any items left in the venue by the Exhibitor.
Postponement, transference or abandonment
In the event for reasons beyond the reasonable control of the Organiser, it is reasonably necessary or advisable for the Organiser to cancel the exhibition or to prematurely end the same, the Organiser will give notice in writing to the Exhibitor and the Organiser shall not be liable for any loss, loss of profit damage or expense incurred by the Exhibitors as a result of such cancellation or premature termination.
Conditions of Exhibiting
All who become Exhibitors at Kent 2020 agree to the whole of these Terms and Conditions together with such other necessary regulations as the Organiser may make from time to time and notify to the exhibitor.
